A CONSIDERED SCOPE
Offices with shared external lines, hotels connecting reception and rooms, and institutions needing organised internal calling.
Your quotation should set out the assessed equipment, installation, documentation and agreed delivery terms.

Confirm SIP accounts, analog gateways, PoE, backup power and handset compatibility. PMS integration or specialist features require separate compatibility confirmation.
EQUIPMENT & APPROACH
PBX/IP-PBX platform; compatible desk phones; analogue gateways where required; SIP/provider connection; PoE switches, network cabling and UPS.
Explore equipment & specification guidance ↗Count extensions and simultaneous calls, map reception and after-hours routing, and assess existing phones, lines and data cabling. Configure permissions and call handling, test internal/external routes and train the nominated administrator.
Keep extension lists and configuration backups current. Review departed staff access, call permissions, system updates and backup power; recurring call-quality faults need both voice and network checks.
THE TECHNICAL BRIEF
Connect reception, offices, departments or hotel rooms through a telephone system sized for the way calls actually move.
| Option / application | What to assess |
|---|---|
| Analogue extensions | Existing analogue handsets may need a compatible analogue PBX or FXS gateway. Reuse depends on cabling condition and required features. |
| IP extensions / SIP | IP phones use the data network; SIP trunks provide external calling where an appropriate provider is available. Extensions and simultaneous external calls are different capacities. |
| Office and hotel workflows | Agree reception transfer, ring groups, opening-hour routing, room/department numbering and access permissions. PMS, billing or intercom integration is model/licence-specific and must be verified. |
Provide extension counts, expected concurrent calls, existing lines and handsets, internet/network condition and growth plans. Confirm PoE, voice prioritisation, backup power, trunk costs and licence scope.
Test incoming/outgoing and internal calls, transfers and failure behaviour. Hand over extension lists, restricted administrator access, backups and user training. Remote access must be secured; exposing a PBX directly to the internet is not a default requirement.
A door station may communicate with selected indoor stations or supported SIP systems, but it is not automatically a complete business PBX. Check the exact models, supported functions and interoperability.

BEFORE YOU DECIDE
Sometimes, using compatible interfaces or gateways. The existing PBX and phone models must be checked; retention is not automatic.
Not by default. Equipment, installation, provider subscriptions and ongoing call charges should be identified separately in the quotation.
